About the Role
We are looking for a highly organised and detail oriented Flight Operations Assistant to join our Flight Operations team. This pivotal role ensures HR compliance across the department while supporting recruitment, promotions, and administrative processes. The successful candidate will manage crew and operational staff records, assist management, and act as a key liaison between flight crew, HR, and leadership.

Key Responsibilities
HR Compliance & Administration
• Ensure all HR policies, procedures, and legal requirements are followed within the Flight Operations department.
• Maintain accurate and up-to-date records of flight crew qualifications, certifications, and documentation in collaboration with HR.
• Assist in preparing HR related reports and audits specific to flight operations
Recruitment Support
• Coordinate the recruitment process for Flight Crew alongside the Chief Pilot and Head of Training.
• Schedule interviews, manage candidate documentation, and facilitate communication throughout the recruitment process.
• Ensure adherence to recruitment policies, including equal opportunity and anti-discrimination practices.
Promotion & Career Development
• Support flight crew promotions, ensuring alignment with company policies.
• Track pilot progression, qualifications, and career development initiatives in collaboration with the Head of Training.
Employee Support & Communication
• Serve as the primary point of contact for flight crew regarding administrative and HR matters.
• Act as a liaison between flight operations staff and HR for queries or concerns.
• Communicate HR updates and policies to the flight operations team.
• Monitor and report on flight crew sickness and offloads.
Support to Management
• Assist Flight Operations Management with HR tasks including workforce planning, onboarding/offboarding, performance evaluations, and training programs.
• Provide administrative support for departmental initiatives and employee engagement activities.
Audit & Compliance
• Conduct departmental self-audits and manage workflows as assigned by the Director of Flight Operations.
• Support the resolution of internal and external audit findings to maintain operational compliance.
• Take minutes during meetings as required.

About You
• Strong organisational and administrative skills with meticulous attention to detail.
• Previous experience in HR administration, operations, or aviation support preferred.
• Ability to handle confidential information with discretion.
• Excellent interpersonal and communication skills, capable of working across multiple teams.
• Proficiency in MS Office Suite (Word, Excel, Outlook).
• Proactive and adaptable, able to prioritise tasks in a fast-paced environment.
